Procore renewals - requiring WIP & Financial Statements

  • 1.  Procore renewals - requiring WIP & Financial Statements

    Posted 01-27-2026 17:08

Has anyone been able to renew Procore subscription without providing all of your financials and WIP?  We only track maybe half of our business there.  I just find it frustrating to be forced to provide the entire set of financials for a software renewal.

    Many thanks for feedback -

When I worked at a different company, they only required the WIP, not financial statements.  they wanted to base the renewal on work completed and what expected work you were going to do for the next year so they can charge you accordingly.

    Renee,

Procore has a basic template you can use that is much less information than the WIP. They just need total contract value, start date, and end date since they value based on contract volume during your Procore contract period. I filled it out and sent them that only and I double checked the values allocated to our Procore contract periods. They were fine with that. If you give them contract names they have all they need to verify since they only care about projects that will be tracked in Procore. We don't track our small JOC projects in Procore so they don't receive that information since it isn't relevant for the terms of our Procore contract. I can send you a copy of the template our rep from Procore gave us. I would push back on giving them all that other information. They have absolutely no need for that.

    Bari,

I just emailed you my templates at the email on your CFMA profile. Feel free to call me if you have any questions. We did a mid-contract renegotiation in December where I gave them this info and then our annual contract renewal this week and I didn't even have to give them a new copy since we hadn't had much change since December.

Yes, you can renew without providing them anything.  They try to make it seem like they need all that but they do not.  It is just used for them to "help" you determine how much you should renew for.  We did not provide them any of it, and just told them we would like to renew for $x.xx.  Procore has become more and more frustrating for us and this being one of the reasons.  We are now looking at other providers to determine if we want to leave Procore.  Feel free to reach out to me if you have any other questions.

We left Procore for Autodesk for that exact reason.  We had to pay a penalty for making more than we estimated, the transition has been ok.  We did like Procore, just not their renewal practices.

    Sheri-

How has your experience been with Autodesk?   We are considering the same move.

Is anyone willing to share their original Procore pricing and where their renewal(s) were priced? Did anyone understand the latest rebranding pricing that has basically doubled the implementation costs? These are the issues that are keeping us from adopting Procore and has us looking at alternates.

They hone in on the product you like best and move it to a higher tier causing an increase.  They also slot you for analytics or BIM that would not be used.  We are now on the move for a new PM system that will work very well with Acumatica.

    Cindy,

You can call me if you want. We actually refused their initial offer on the most recent rates at renewal and negotiated for lower rates using Labor and Statistics data about inflation. I can't speak to the implementation costs because we have been on it for years but I can explain how their pricing works and how to budget for it. There are also have some other tips I can share if you are looking at going to Procore. Feel free to call our office an ask for me 928-445-1281.

Cindy, sounds like you are already on the right track with Krystal and a few others on here, but I do know that we discuss with our Procore reps that we wanted to EXCLUDE projects that were in a particular status "Accounting Closed" so when they looked at total contract value of projects it was lower than if you included all active projects. We dont inactivate projects beacuse we have an integration with NetSuite and SalesForce and it causes issues. Our Procore licensing is based on about 50% of our revenue because we have a significant service and maintenance business (we are a specialty contractor). If we included our service there would be 1000s of jobs.
