  • 1.  Hiring and On-boarding Field Staff

    Good morning Specialty Trade friends, 

    We are looking to see what companies are doing to streamline/simplify the hiring process for field staff.  Nothing is worse than having a new employee hired in the field and then quitting a week later and then you find out that you only have part of his new hire paperwork completed.  Looking to see how others are handling this process to make sure you have everything complete at the start.

    All new hires report to me their first day of employment.  They have to complete all new hire paperwork, an orientation session and online safety training.  They are not permitted to report to field duty work until all required onboarding has been completed.  I have a checklist that I incorporate into onboarding employees to make sure every applicable task box is checked.

    We also require all new hire paperwork before the first day of work.  All employees report to New Hire Orientation on their first day.  In order to attend, all new hire paperwork and drug testing, etc. must be completed.  We use ClearCompany through ADP for online completion of new hire documents.

    Before we implemented this requirement, we found the same challenges of missing documents and even cases when someone would start, but then was found to be ineligible for hire and we had to terminate.  Just not a good situation!

    Definitely don't let them on the jobsite until you have all documentation completed.  In the past we've been rushed to get a new person on a jobsite, only to find out they didn't qualify.  Then we're stuck having to carry them on our payroll all year & issue a W-2 at year-end.  Our Operations Manager & PM's know we won't allow any new employee on the jobsite until we have completed their onboarding process, including basic safety training.

     

    And as the others have said, a checklist makes the process much easier, and thorough.

    We went with BambooHR a few years ago. There are tons of HRIS options, but when it comes to new hire processing, benefits admin and general employee engagement we found BambooHR to be a solid choice. All onboarding documentation is available online. No more handwritten applications to interpret. Great for record keeping and required documentation. We really liked the modern feel and look to the website and mobile app. It is user friendly and great for employee communication.
