  • 1.  Company Email Addresses?

    How do other companies (especially larger subs) handle company email addresses/accounts?  Whenever a new employee, especially a field employee, onboards, do they get a company-owned/management/paid email address, or do you all just allow them to use their personal email?  I'll clarify that for our field employees, apprentices and journeymen are only getting paystubs/company announcements via email and are not actively engaging with customers/vendors/business uses.  For our foremen, however, we provide them with a Gmail account, versus the office all being on Office365.

    So, do you all give EVERYONE a paid email account, or do you differentiate based on use case?

    We provide company email accounts to office personnel and field superintendents. Foremen and drivers get a Gmail account that includes their initials combined with an abbreviated version of the company name.  All other field employees use their personal emails.

    We essentially do the same thing you do. Only Foreman and all office personal get a company email via Microsoft 365. At the time of hire of any employee we collect an email address to enter into our payroll system (UKG) which is how we communicate company wide with all employees.

    Hi Will,

    If an employee needs an email account to perform company tasks, we give them a company email address.  We use an employee's personal email to communicate with them about company matters such as sending paystubs and newsletters/memos.  Sometimes there is overlap in that we need an employee to use their personal email account for company business, but that is not common and we don't think it warrants a company email.

    We use office 365 and give everyone a company email.  We also collect a personal email from them.  Different roles have different licenses so we can keep our costs in line.

    Good Morning.

    We do not do company emails for field employees, except for our foreman. We collect a personal email for all paystubs and company announcements. This way employees that leave still have access to their pay stubs.

    New field employees do not get onboarded with a company email address/cell phone unless they will be at a foreman's position or in a role that requires it. They use their personal email to receive paystubs and their personal cell phone number to receive text communications regarding company-wide events and toolbox talks. Since we don't want employees using their personal email/cell phone for business purposes, we create an email address through MS365 for foremen based on software required and provide them with a cellphone and/or iPad. We even have a generic account and iPad setup for employees who need temporary access and are not full-time foremen. Employees that need access to OneDrive for project drawings and communications get a Business Standard license. Employees that just need email access get Exchange Online Plan 1. Keeping everything in the Microsoft environment gives us greater control over our data with compliance, how its shared, etc.
