    Reintjes Services, Inc. is a diversified refractory installation contractor that has been in business 33 years.  Our work is performed in a merit shop environment primarily in the southeast United States where we have 4 field offices. We are a family owned business and our corporate headquarters has always been in the Kansas City area. The field offices are responsible for the collection and data entry of job site time sheets. 

    Seeking a Payroll Administrator to import time from field offices and then handle all processing and payment functions of weekly payroll. This position enters new and changed employee W-4’s in the Viewpoint software payroll master files.  The Payroll Administrator is also responsible for coordinating and reporting employee benefit information to a third party that handles insurance enrollments for full time employees.

    Job Title: Payroll and Employee benefits administrator

    Reports to: CFO and indirectly to VP Human Resources

    Position Purpose: Compile and process employee time and payroll data using Vista by Viewpoint contractor software. Administer employee benefits and garnishments.

    Essential Duties and Responsibilities:
    1. Import and process weekly time files from field offices.
    2. Review the imported data for completeness, accuracy and compliance with company policies and applicable state and federal wage and hour laws.
    3. Prepare and submit weekly electronic pay files to bank.
    4. On a daily basis, provide prompt response to requests for per diem advances.
    5. Accurately create or edit employee master file records in payroll software including demographic information, withholding exemptions, direct deposit bank account numbers and employee deductions. Maintain demographic and card numbers issued in Pay Card provider’s web-based system.
    6. Provides technical assistance to field and office personnel regarding payroll procedures and proper accounting classification and coding.
    7. Coordinate with outsourced benefit vendor all eligible employee enrollment information. Maintain, update all benefit changes, additions and terminations based on vendor agreement..
    8. Enter in payroll system any changes to employee insurance coverages and the resultant premium deduction of employees when information is received from outsourced benefit administrator vendor.
    9. Send employment new hire packet to benefit eligible new hires.
    10. Set up, pay and maintain files of employee garnishments.

    Additional Duties:
    1. Demonstrate a highly ethical and extremely confidential approach to the very sensitive information produced in the payroll and employee benefit areas.
    2. Deposit 401k contributions weekly in accordance with DOL required time period.
    3. Evaluate variable hour employees’ payment of insurance premiums and set up catch-up deductions if necessary.
    4. Produce weekly and annual mailing of required notices to employees (e.g. ACA, 401k plan eligibility and compliance)
    5. Open new and close completed pay periods. Sometimes requires analysis to correct errors.
    6. Demonstrates effective teamwork and cooperation with all employees and customers of the Company.
    7. Administer the Company’s VISA card program includes requesting/cancelling cards and requesting temporary card holder credit limit.

    Desired Minimum Qualifications:

    To successfully perform the essential functions of this position, the incumbent must have 3 to 5 years of hands-on payroll experience in an organization that produces their own payroll (i.e. not using ADP, Paychex, etc.)

    Incumbent must have knowledge of basic accounting and payroll operating procedures and maintain the highest of ethical standards. Additionally, incumbent must be able to use a personal computer and various word processing, spreadsheet and accounting software packages. Organizational and attention to detail skills are required.

    Physical Demands--The incumbent works in a controlled office environment and rarely is required to perform any strenuous activity. Some lifting and moving of boxes may be required on occasion.

    This position functions in an office environment. It requires the use of general office equipment such as PC, printer, calculator, fax machine, copy machine, and telephone. Incumbent must have experience with Microsoft Office products (Excel, Outlook and Word).
