Communication with Employees

    We are looking for a better way to reach out to our employees. Right now we are relying on email and it has be quite ineffective (we have been informed that hardly any of them check their emails).  I am sure there are programs out there that allow you to send out information as a text? Could you please share what has worked best with your companies? Any and all suggestions are greatly appreciated.

    We have right around 45 employees.

    We are currently implementing HR Management by Viewpoint (formerly Keystyle) to accentuate our Vista by Viewpoint ERP functionality.  HRR is a web hosted employee portal which gives us the ability to post announcements on the employees portal home screen or even send SMS messages to our employees.  We can post announcements or send SMS texts to employees by group or category.  If you're not in Vista, I would imagine there are other platforms out there that would give you the ability to send announcements or SMS message your employees.

    Amanda, our enterprise uses Microsoft's Office 365 suite, which comes with some innovative options that we are still exploring.  We use its Teams and its Forms programs, but there are 20 or so new items beyond Word, Excel, Outlook and PowerPoint. Teams allows you to set up Excel tables of employee names and cell numbers and allows a text burst for any number of different groups with your custom messages and timing, either a single message or repeating.  Our PR team sends a burst every Monday reminding supervisors to complete their online time and equipment so that PR processing can begin.  Forms allows you to combine the Teams functionality with a custom form that asks employees (or customers, etc.) to respond to a few questions by clicking radio buttons or inputting text.  You can gather data (equipment hours, mileage, production quantities, start times, etc.) easily.  Both are actually pretty easy to setup and manage.  The possibilities seem huge!

    Hi Michael,

    I'm wondering if you'd be able to share a little more how to set up the tables through Teams. We just migrated over to Office 365 and we have Teams and I've starting using it barely, but I love the idea of being able to send out recurring reminders to people through it.

    We implemented One Call Now, to communicate with employees when the email server is down. We implemented it as a part of our emergency preparedness program. It allows us to send out group texts very easily. You can also send group voice mail messages. The cost is reasonable, about $700 per year for 60 licenses. I recently renewed with Hillary Bowling ... Hillary.Bowling@onsolve.com or OneCallNow.com. They have an app as well which is super user friendly. I recommend this program for someone looking for a communication system to send group text messages, particularly in the event of an emergency or when email isn't available.

    Hi Amanda,

    We too struggled for years with emails.  People in general today live by text and social media, so we switched things up this year and it's much better received.

    The program we use is EZ Texting www.eztexting.com .

    Positives:

    • Very easy to upload all your contacts. 
    • They have several plans to choose from based on the amount of texts you will send
    • Monthly or yearly pricing
    • You can send the text immediately or set them up to send at a later time
    • Create reoccurring messages. 

    There are a couple of negatives:

    • You have to manually create groups and if you have a lot of contacts it is very time consuming
    • People can choose to block messages and as far as I can see, I don't know who they are

     

    Overall, it is super easy to use and I know that the guys are getting messages now

    Hi Amanda,
    I just wrapped up reviewing multiple companies for this exact purpose in March. Ultimately we ended up choosing National Payment Corporation. They offered the best bang for the buck. We now have an employee portal linked to our website that offers, pay stubs, company notifications, tax documents, new hire forms, etc... It is web-based but is very mobile-friendly. The cost worked out to be about $1.25 per employee per pay stub (not including implementation costs). But more importantly, there is a very high emphasis on security which was the selling point for our team.

    Set up was a breeze, implementation was seamless and I couldn't be happier about choosing NatPay.

    I have to agree that some sort of texting product is going to be more effective in reaching out to employees with information going forward.  For important information and when you are looking for a reaction, nothing is better than in person when possible.  If spread out geographically, there are many video web-ex products.  I think a combination of the two is best.  Use texting for general info that doesn't necessarily require feedback and a monthly or quarterly in person for more critical or sensitive information where you have better employee focus and feedback.

    We are currently only using it for emergency notification but have had to use it twice and it has performed well.

    Easy to set up and use.
