    Good morning,

    Do any of the subcontractors on this forum have a process they would be willing to share for tracking project dates in order to comply with lien law notice requirements? We do a large volume of work and it is very easy for a project to slip through the cracks.

    Hi @Britt Galipault -- I definitely understand the pain you state here: "We do a large volume of work and it is very easy for a project to slip through the cracks."  Here are some opinions and resources that may be helpful to you. I'll be careful not to be sales-y here, because I am the CEO of a company that helps companies like Smith Fence Company with this very problem (Levelset). Instead, I want to provide you with good resources that will help you improve your process and evaluate tools that are available to your company.

    1) How to keep up with it all?  Process, etc.
    Here is an article to help you think about setting and managing a "lien policy." This may help you think about how to manage the process from a macro standpoint:

    There are a lot of components to the "lien process," as you know.  This includes:

    1. Sending, tracking your preliminary notices / NTOs
    2. Research to figure out all the stakeholders on the job 
    3. Tracking your lien deadlines
    4. Fielding and satisfying lien waiver requests (see reviews of this at this CFMA Cafe thread)

    There are not many solutions that help with all of these challenges, without touting the Levelset tool.  However, there are many services and solutions out there for your company to inspect that touches on different elements:

    You can send a notice to owner, request & send lien waivers and pay applications all for free on Levelset.  The free version is only useful for one at a time requests and tracking, but at least lets you play around with it.  Give it a shot.
