We are evaluating implementing either G Suite or Office 365 for our ongoing software needs.  We are well familiar with Office 365, has anyone successfully implemented G Suite?  Any words of wisdom, pitfalls, or other advice on evaluating G Suite?  We have over 300 active users.

Brian, we have clients who use both, I asked our technology director Peggy Kitzmiller and here is her response:

Yes we do. We have clients who use g suite and office 365 and could help them evaluate what's best for their needs.

We moved to GSuite for email purposes.  We had email through Outlook via Godaddy and wanted something easier to maintain.  We still use Office365 for the applications but have that through Microsoft directly now - easier to maintain.  What we have found is the combination is working well for us.  We really like Gdrive (vs OneDrive) for company wide use.  It integrates well with our CRM and it is hard to beat Google Search when used within your online files.  It has been a couple of years since I touched OneDrive or OneDrive for business so things may have changed but we had a really hard time with it and lost so many files.  We moved to ShareFile (great software) but with the move to GSuite, GDrive is really just amazing and so easy to use.

We have also found that light application users are very happy with GSuite and don't need Office365 at all.  Only about half our company, maybe less, has an Office365 license.  For the heavy users, GSheets is no replacement for Excel.  Office users use Outlook application with GMail via a sync connector that works extremely well.  Google drives Google Drive Stream File sync works extremely well too.  Zero incidents / lost files / issues.

Brian, we sell and support both ecosystems.

IMO if you already use the Microsoft suite of products, especially if your LOB software exports to Excel, you probably want to go the Microsoft route because it includes the desktop Office software licensing.  There are many great productivity features in Office 365.  One of our favorites is Teams.

If you are a newer company and your line of business software is all web-based, then Gsuite may be a great play.  We see many young companies using Gsuite because it is the productivity suite of choice for recent graduates.  Newer web-based software offerings tend to have more native integrations with GSuite and the 3rd party ecosystem.

In either case, choose a 3rd party backup service for either O365 or Gsuite.  Always use 2-factor authentication.  If using O365, you must harden the instance.  By default, Microsoft leaves several protocols turned on that are potentially unsafe.

Incidentally, there is a very well written article titled IT Trends in Construction, written by Christian Burger in Jan/Feb CFMA Building Profits starting on page 77.

    Hello Brian,

I second Jill's comments.  About 10 years ago, at my former job, we moved over 2,000 email addresses to G-Suite.  We never had any issues, especially since most people already used GMail.

I recently did an analysis for a customer that has about 300 mailboxes.  Taking the route that Jill recommends (G-Suite for everyone and Office 365 for power users) saves them about $100,000 annually.

Although Google Sheets is not as advanced as Excel in some areas, it does offer very powerful tools for collaboration (and No Crashes).  For example; using existing Sheets formulas I developed a sales forecasting tool for 100+ Project Managers who worked in various locations.  Each salesperson updated his/her own Sheet, and the combined results showed up in Management Sheets within seconds.

I will be more than happy to provide additional information if there is any interest.
