    Our company is starting to do more and more projects all over Texas, therefore we are booking several hotel stays on a weekly basis.  Does anyone have any recommendations for booking sites or rewards programs that they have found to be the most beneficial?  I am not looking to just earn points or free stays, but to get the best rates.  I have used Hotels.com for several years for my personal use and get great rates now, but I am looking for the best fit for business use.  Thank you in advance for any input!

    Hi Melissa,

    For best rates select a large chain with a good rewards program and multiple brands (I'm partial to IHG) then call the front desk of a local hotel near the jobsite (not the general booking number) and ask for the Sales Manager. You'll be amazed the rates you can get while still earning rewards.

    Melissa,

     

    We use a group call Corporate Lodging (CLC).  They have contracts with hotel chains all over the country and negotiate rates.  The process is very simple, log onto their portal, key in the location of your job and they will give you a list of hotels in the area and their best negotiated rate.  You can select hotel to use, number of rooms, list the names of who is to have the rooms, or if it is a crew staying, give the name of the crew leader and rooms he is responsible for.  Thru their program, you can restrict exactly what is covered, ie: room only and not incidentals if you want.  When the room is booked, we enter the job and distribution codes the cost is to be charged on our job.  they bill us via single card we have set up with ComData that allows us to make one payment and distribute costs to our projects easily.

     

    We have used this program for a couple of years and have been pleased with its ease of use as well as their billing process.

    Melissa-  We evaluated CLC Lodging about a year ago and I found it to be a slick setup.  I like the financial controls it allows you to place on the stays and the invoicing process.  And they have a cool website based tool for you to manage.  No doubt they provide a valuable service.

    THAT BEING SAID:

    I had them evaluate about 200 stays we did that year against the rates they could have provided.  I supplied them the zero balance receipts which clearly showed the amount of each stay and the address.  We beat them on every one.  Sometimes by a little, sometimes by quite a bit.  To their credit, they could have low balled us because I gave them the rates they were competing against but they did not - they were honest in their evaluation.  We elected to not move forward with them.  The program we use is with Choice Hotels: https://www.choicehotels.com/deals/business-travel.  They have a wide range of brands with nationwide coverage including Quality Inn, Econolodge, Comfort Inn, Clarion, MainStay Suites and Suburban Extended Stay and many others...

    I believe these are two paths here.  If one is looking simply for the lowest cost room in any city, a corporate program like the Choice Hotels above should be the choice.  On the other hand, if one is looking for a comprehensive solution for rates, billing, a cool website and probably excellent customer support then maybe something like CLC is the answer.

    Hi Melissa,

    We used Hotels.com for most of our bookings as well. If we knew the project would require weeks/months of hotel stays i have contacted the hotel and received discounted rates if booking multiple rooms.
    Recently i came across a place called Stay Alfred. They are in several cities and the rates are the best i have found. Our guys love staying at them as they offer 1, 2 & 3 bedrooms. Working all day then being able to come back and have a separate room to relax in was a huge bonus for our employees.
