Vista by Viewpoint - Crystal Reports for Financial Reports

Does anyone use Crystal Reports for producing their Financial Reports in lieu of Financial Manager or Spreadsheet Server?  Who did you use to write your reports?

Any other recommendations for producing financial reports outside of Vista or Spreadsheet Server?

We use Spreadsheet Server to produce our Financial Reports, so I too am curious to hear of alternative reporting solutions.  I'm glad you asked your question Natalie, and I'll be watching for others to respond.

We use excel query and that updates an excel template. The query is incredibly simple. Each month you just click on the refresh icon and it's updated. When I built this report, it totally changed our game from using paper reports. We now use simple drop downs in excel for years/months, so we can do a comparison of any time periods.

We still use Financial Manager, but I'm told that the replacement for that is forthcoming, or may already be in use, from Vista. I'd also be interested to hear what people are using, since this is the second time that the financial reporter is being replaced by Viewpoint, after doing all the work to format the reports. Then we have to start the process all over again.
Thanks for asking the question Natalie.

We are still using Financial Manager and we are trying to find a replacement before the end of the year. We are considering the Spreadsheet Server or any other option. I am interest in hearing what everyone else is using and any likes or dislikes.

    Thank you

    Hi Natalie,

We've used Vista to produce our financials for the last 3 years, and we decided early on to produce them using Crystal reports & the account parts setup inside of the GL module.

A bit of a backstory: we have worked with Vista since 2012 as certified partners of Viewpoint, and have two branches of our company. Our bookkeeping department provides financial services to small contractors in Vista, and our tech services department provides report writing and customizations to larger Vista contractors. We decided we wanted to "eat our own dogfood" and purchased Vista to use it on our own.

We didn't want to use third-party software to create our financials, although this isn't to say they don't provide some good solutions. We wanted to be able to get our reporting with the same data security and native "feel" that we get with the rest of our reports. Plus, we wanted to build something that would work for our smaller customers where we're helping management produce their internal financials.

Over time, we've been asked to provide these financials (both reports and training) to other of our larger contractors which we've done for a small fee. Over time, this has resulted in much better financial statements, as we've had additional feature requests that we've built into the standard. Things that are "nice-to-have" for one contractor can be a "must-have" for another, and we've attempted to build it such that it works for everybody.

I like the ability that "vanilla" Vista has for creating financial statement groups (known as major- and minor-categories). This provides an immense amount of flexibility without having to create the financials every single time in Excel, and it allows you to create very professional looking reports without displaying all the individual accounts.

We were originally using Financial Manager, but once Viewpoint announced they were no longer supporting that software, we started implementing spreadsheet server. I believe Vista now comes with two free spreadsheet server licenses, but only at their lowest tier (Silver), which gives you access to GL module only.
It didn't take as much time as I thought to get Spreadsheet Server set up and running. I personally find it easier to update reports, such as when you add a new GL code, than FM.
Something to consider is that we have multiple companies that have to be consolidated, so I don't think crystal reports is a good option for us; we plug in eliminating entries into our excel file to produce our balance sheet and income statement.
    Hope this helps.

If you set up the GL categories properly you will have several options without any need for 3rd party products:

    • Out of the box Vista statements (Crystal).
    • Modify the out of the box Vista reports (Crystal).
    • Create Crystal reports from scratch.
    • Use other reporting tools SSRS (free), Power BI
    • Dynamically connect excel (Pivot Tables!) to the defined Vista GL categories

If you would like to discuss these options, please feel free to reach back and we can show you how this would work.

    Good Morning All!

Thank you so much for everyone's feedback!  We currently use Financial Manager and are planning ahead for the year end when it will no longer be supported by Viewpoint.  We produce financials for multiple companies and multiple divisions and need something that will accommodate this setup.  Although Viewpoint provides two fee basic Silver licenses for spreadsheet server, it is pretty useless for all of the reporting we need.  The next step up to Gold (distribution mgr) is $4895 per license and Platinum (queries) is $12,500 per licence.  Plus the cost of support.  Which can add up with all of our users.

We are considering reaching out to a 3rd party to write customized crystal reports for our financials to come directly out of Vista, but currently we are leaning towards starting out with producing our financials via excel or google sheets.

    Hi Natalie,

We were using the Financial Manager until just recently when we implemented Prophix Software. I looked at doing the Spreadsheet server and for the direction our company is going, using an excel based writer was not going to work for us. Prophix has been amazing so far. Everything works great, the reports tie out, the software is fairly easy to use once you are in and trained, and the versatility is awesome. We are doing different reports for our jobs, looking at sales using this software and doing win/loss ratios, doing WIPs way more intuitively, it has been a great product for us! I highly recommend it.

Dear Natalie (and any fellow CFMA members)

Please note we have been working with clients to install Global Spread Sheet Server (Insights) in placement of the Financial Manager.  We also have been able to provide a working financials to clients be migrating their reporting into a custom spreadsheet we created that links to Global and integrated with Viewpoint.

If you would like more information about this process, please contact us.  Thank you.
