Time sheet / Work order software

  • 1.  Time sheet / Work order software

    Posted 04-09-2019 14:19
We are starting to roll out Keystyle for our office and field timesheets. We have an internal problem with the hours on our timesheets not matching the hours on our work orders. Keystyle used to have the work orders as part of their product offering but have recently eliminated it from their software. Does anyone use another software for work orders that tie into Vista and Keystyle? I'm not sure why Keystyle pulled work orders from their software.

    Hi Jay,
PowerTrack will allow your users to enter labor and parts to work orders in Vista.  They can use their phones, tablets or browser.  I'd be happy to go over your requirements with you.
    Thanks,
    Erik

    Jay,

What were you using before Keystyle? We are still using HCSS/HeavyJob for labor and equipment entry but do use the HR Mgt piece of Keystyle. I am very interested in how Keystyle Time Entry users are progressing with the new tool. I am a big fan of having one integrated system without having to maintain two databases.

Paul, How do you like the way HCSS Heavy job integrates with Vista. If I'm not mistaken you use Vista internally. We use Vista and I'm considering getting Heavy Job, we're currently still just using Excel in the field for the daily time sheets.

    Thanks

    Paul

We use excel for our field timesheets right now but we are starting our roll out to the field next week for Keystyle. I will be able to give you an update in about a month on how well it works in the field. We are using for office payroll right now and it is working great. And yes, we are using Vista internally but not aware of the HCSS Heavy Job module.

    Hi Paul,

Just catching up on some older emails. HeavyJob does have a DIS/True-up add on feature to sync up employees, equipment, phases, UMs, etc. so you don't have to maintain both instances. You do have to import your budgets into both HeavyJob and Vista so that part is duplication. Many construction companies utilize other features of HeavyJob as well.

I would recommend HeavyJob but I would also suggest you look at Viewpoint One which has the capability of inputting time, equipment, and other data directly into a portal that links back to Vista. This solution does not require maintaining two databases.

    Jay,
I don't have any tips for you - sorry, but I do have a question: we have recently rolled out some other pieces of Keystyle. For the timesheets as they have them, do they seem to work well for simple coded time?

    Hi there,
I'm not sure if I can help, but we implemented Keystyle a while ago for time reporting and employee portal and are slowly turning on more pieces.  We use both Service and Job modules and from what I remember it's fairly easy for Viewpoint to set it up to work with both in the Portal Settings.  I know that we can not have them employees clock in and out on Work Orders, so we have our Service Department submit their own Time Card.  The rest of the field clocks in and out of the larger jobs.  Are you still implementing?  Do you have an Implementation Specialist that can help you with your settings?  If not, I can walk you through ours and see if that could help you.

We are a huge fan of Keystyle, we've used it for a couple of years now.  We use it with work orders with no problem on timecards, however we haven't been able to charge to work orders on the expense reimbursements.  We have so few reimbursements that this isn't a problem becuase we are able to open the batch in Vista and revise the coding.
We've never had a problem with the timecards not  matching, but changes can be made directly in Vista as it is an open batch that is available.

At my previous employer, we implemented Vista with Keystyle for company and MSI for our service department. I know that MSI wasn't everything we were looking for at the time, but it was the best option we could find (three years ago) and they are still using it today.

    Hey Jay,

Check out eForms Mobile.  They integrate with our accounting software and many others.  We're able to customize our forms and outputs and it's been a HUGE success in our excavation company!  We started with time sheets and have since implemented over 30 other forms.  Good luck!

    Thanks Rhiannon

I researched eForms and looks like a great product. But it looks like it only integrates with Sage ERPs and we are using Vista. Thanks for your response anyway.

    Hey Jay!

It actually integrates well with Vista/Viewpoint, it's just not as advertised as Sage.  If you want a great referral to a Vista/Viewpoint client, I'd be happy to share thru email!  Just let me know!

    Thanks Rhiannon

We are implementing Keystyle right now, so I would like to wait until we can evaluate whether this is a good fit for us. I'll reach out in the future if Keystyle is not a fit.
