1.  Per Diem - How do you pay this out?

We just switched from paying Per Diem to our crew in cash before they go to the job to Comdata Pre Paid credit cards. The crew are not happy with this change since they are charged ATM fees and they are complaining that they cannot use the cards at certain places they eat and when they get together for a dinner they cannot put down several cards to pay, etc.

How do you pay your crews per diem? Do you give them cash or cards? Do you pay the Per Diem in advance or do you reimburse them through payroll once they have returned from the job they traveled to?

We've used Comdata Cards for about a year now and our guys have never paid a fee. But we use them as payroll cards, rather than credit cards. I call them "Plastic Checks". They work everywhere as a Debit card, or the user can go to the bank and cash them like a paper check. You may check with Comdata and see if there's a setup you have that would change your fee structure. I wouldn't think paying a per diem vs. reimbursement via payroll would make a difference in the fees on the card. The best guy I know at Comdata is Edwin Benson. He and I have spoken many times on their entire offering and could be a good resource for you. His number is 615-370-7160.

 

For anyone looking to get rid of field payroll checks, or layoff checks, I highly recommend Comdata. We signed up to eliminate field layoff checks, and the program has worked wonderfully.

We add it to their first paycheck (non-taxable add) following the week of travel.  Grumblings at first but haven't had any problems with it, although we do on occasion do advances to crew members heading out of town that say they don't have enough money to front the meals, usually new hires.   Almost all of our employees are on direct deposit so it helps that they can get their money from their weekly paycheck while they are out of town.  We've been doing this for several years now, prior method was a fiasco, won't get into that.

We pay the per diem ($35) in the paycheck following the overnight travel. The crew members document the per diem on their timesheets. Works well for us and the employees have not made an issue of being reimbursed after the fact. One note though, PA treats per diems as earnings for workers' comp purposes.

We pay our per diem by check with payroll after they travel so it is in line with their timecards.  I would like to pay it on their paychecks as 95% are direct deposit but unfortunately, it is a case of "we have always done it this way".  We did look at a prepaid card through our bank but a lot of our field guys did not want that.  They would rather cash the checks.

​We pay weekly and add to their paycheck.  Probably the most difficult part of the payroll process somewhat driven by our policies but we are looking for ways to simplify.

​We pay per diem in advance through Comdata.  At first it was hard for the guys to get used to, but after a while most started to like it.  The only fee issues we have are typically after an employee drains his card and yet continues to try to use it or attempt an ATM balance inquiry (it is free if they call an automated line). I personally have walked into my bank and taken money off my card with no fees and we have very few vendors/restaurants that charge anything so that has never been much of an issue for us. I believe the first ATM withdrawal per month is free and any others cost so it may just be a matter of personal money management.
