    Was curious if anyone new of a software that a/p invoices could post back to AIA billings line items.

    Viewpoint does this - but not direct to the AIA line items like you indicate in your post. Instead, you code the AP invoice so a specific cost code and then the cost codes are designated/mapped to a specific AIA line item in the project set up. As such, when an AIA invoice is initialized, it does so based on percent complete on the job cost side. For example, if you have incurred $40k of an estimated $80k of cost, the system bills 50% of the contract value.

    Hi Jillane,

    Viewpoint Spectrum also handles this through the Draw Request Cost Selection feature as long as the Cost Codes (Phases in Spectrum) are mapped to the appropriate SOV line items. This function also assigns the Draw Request application number to the Job Cost history records.

    Depending on your ERP - Sage 300 CRE can post cost directly to AIA Schedule of Value Line Items.

    Jillane, are you asking for purposes of "pay when paid," T&M billing, or cost-to-revenue analysis? Most ERP systems associate costs and billings in the way Ron and Arin describe with Spectrum and Vista. But not all systems do that in an easy or straightforward manner. PWP also may require a different process.

    Corecon Technologies offers multiple classifications systems each integrated with every transaction type.  Job Cost entries such as Accounts Payable Invoices/Bills, Subcontractor Invoices,  Labor Time Cards, Equipment Time Cards, Misc Expenses, Employee Reimbursements, Credit Card charges are entered to Job Cost Codes.  These Job Cost Codes are simultaneously mapped to Multi-tiered Master Cost Code list, to Internal Classifications, and to Owner Groupings (your Customers Schedule of Values).  Each of these classification systems tie to line items on the AIA Documents.  Maintaining these multiple mapped classification systems concurrently allows each user of the data to see the information in a format they prefer.  Accounting may prefer to see this at the Job Cost Code Level, Project Managers and Estimators may prefer data at the Master Cost Code level, and your Customers/Clients will see the data exactly as they have requested using the Owner Groupings.

    In other words, Corecon allows Accounts Payable invoices/bills to post back to AIA billings line items.  Pre-billing logs are used to see which AP Bills incurred post to the which specific line items on the AIA Billing. Corecons Analytics and Dashboards also track transactions by Job Cost Code and by Master Cost Code lists which in turn tie back to the AIA Billing Line items.
