    We are currently using Sage 100 for our business with an add on third party service module called Ascent Business Systems.   We are considering changing software but find ourselves looking for something that is good with Job Costing and service.   Currently our service technicians are doing their billings and gathering of their data in the field through the app so we have come a long way.  But we are very heavy on the construction side of the business.  I have been using Sage for many years and find it easy to manage my way around.  But there is the concern that we may be out pacing the Sage software with our volume.  We have approx 485 employees and are doing approx $100M a year in revenue.  At this time, I am also exploring the idea of outsourcing our payroll.  Today we do this inhouse my entering manual time cards as have a very diverse group of field personnel.  Some only speak Vietnamese, Burmese or Spanish.  In addition to the language issues, we are working with many certified payroll items as well.  So we have a few challenges to consider.    Can you provide recommendations on software that can handle job costing and service?  The President of the company would like to see a windows look and feel to the software - the ability to see the technicians in the field on a map from the dispatch board and yet have all the abilites to track service agreements, billings and other items.  Today we are working with a manual system of sales tax and could consider that an option in future upgrade as well.  Also - if you want to chime in on challenges pro and con regarding the third party outsourcing of the payroll as well as the certified piece of this - I am interested in hearing this as well.  I am already working with 3 different companies.

    Good Morning Tammye,

    We just went through exploring many different options for software that would accommodate our construction and service sides.  We narrowed it to three options and ultimately decided to go with COINS OA.  We are currently in the process of implementing the new system and so far are very pleased, and learn more things it can do every day.  I would highly recommend exploring COINS to see if it might be a good fit for your organization.  We currently outsource our payroll and I am planning on bringing it back in-house after our implementation.  COINS offers mobile apps for capturing time and produces great certified payroll reports as well, which I have not had much luck with outsourcing.

    Thank you for this information.  I am still exploring the idea of 3rd party payroll.  I could be easily persuaded to go either direction.  With all the details of things that have to happen, I wouldn't mind turning over that detail to people.  I can happily pass the wand for the responsibilities of payroll taxes weekly, filing ACA forms timely and getting W-2's accurate.   I just worry about certified payroll more than anything at this point.  Thanks for the idea on COINS.

    Regarding 3rd party payroll, I highly recommend Foundation and their payroll service division, Payroll4construction.  They also have great ACA compliance services.  They will have you covered on your payroll needs.   They are strong with job costing and do have a Service Module (we don't use it though, so I can't speak for it).

    We are a multi-state electrical contractor with a service department and two thirds of our revenue in commercial and residential new construction.

    We switched from Maxwell Suite to Jonas Enterprise in 2015 and have been very happy with the software.  We use the inventory, job costing, document management, service, and payroll modules.  Although we are non-union I do know that the software can handle multi-union, multi-state payrolls.

    I found it challenging to find a software that can meet service and job cost needs and Jonas has stepped up to the plate well.  Accounts Payable integrates to both modules so there is no need for duplicate entry.  Project Management screens are easy to read with the ability to drill down, or control the information seen based on security settings.  Our PM's are in the screens constantly.  They can see what change orders have been entered, AR status, projected finals, just to name a few.

    Hi Tammye-

    I have spent many years working with the Viewpoint product now called Vista.  First as an Accounting Manager for an Electrical Construction Company that was also a huge Union shop in addition to doing a lot of Certified, Prevailing Wage and Davis Bacon jobs.  I went on to be a Accounting Consultant with Viewpoint for 6 years and just went independent last year.

    I have close to 100 implementations under my belt at this point and I strongly oppose 3rd party payroll.  If you have the right ERP and staff, you don't need a 3rd party.  I have set up the most complex Union and Prevailing Wage agreements in Vista and have never not been able to get one to work.  As a consultant, I have also had to clean up a lot of the issues caused by dealing with too many 3rd party products.  I could give you many, many examples.

    Viewpoint added a Service Module several years ago and, from the feedback I have heard, a lot of the kinks have been worked out especially with a big update about a year ago.

    Viewpoint also recently acquired KeyStyle which is "Viewpoint brought to the Web, made awesome".  A quote from one of the original owners and developers, but it's the truth.  It provides a great streamlined mobile and desktop interface back to the product, which really simplifies things for the people in the Field.  This includes entering time for all Jobs and Service Work Orders.

    Those are just a few highlights.  I don't sell the product, but I would be happy to chat more with you if you want.  The Sales Engineers at VP are great about giving demos catered to your business needs.

    Hello Tammye,

    I work for Palmer Consulting Group, we help with ERP selection process as well as implementation.  I can say from experience the the Viewpoint Service Management Module is very robust.  It is easy to very easy to integrate with all other aspects of a construction business.

    I would suggest that you take the recommendations that have been listed in this thread and ask for some software demo's.  Make sure that you are taking into account all the complexities of the business, not just your current pain point.

    Make sure you are asking about union functionality, certified payroll, inventory, equipment, job costing.  I think it is also very important to know what type of a platform that you are working with.  I have found that ERP's build on a SQL platform allow you more options when it comes to extracting data for analysis, as well as building in additional functionality.

    Another key point to consider is how much maintenance goes into the ERP, will you be able to create additional reports in house, will you have to pay for custom reports to be written, do all request have to go through the company that you choose.

    If you have any other questions about things to consider when searching for an ERP I would be happy to take some time and help you prepare for your demo's.  One other bit of advice, when dealing with the sales rep, do not take their word that a specific process can be done, make them show you.  I am not trying to imply that all sales people are liars, but I have found that there are times where there is an expectation reality gap.  An ERP is a huge investment.

    Good Morning Tammye :)

    We just switched from ComputerEase to Foundation Software.  We are Construction based, however, I see that Foundation does have a Service module that looks good!  I strongly encourage you to take a peek at it. I especially like their mobile app for timecards as it interfaces seamlessly.  I have literally cut our processing time in half compared with using a 3rd party app through ComputerEase.

    We use Foundation software and works well for job costing.  We also use their related company Payroll4Construction.  By using their payroll service it syncs to our job cost records easily.  We also use their mobile web link for time entry.  Certified payroll reports can be easily run out of Foundation if you need them

    Thank you for all that have responded.  I have received many contacts and phone calls for suggestions on software.  I am not able to make any sort of contacts and discussion at this point.  We have to work this in stages.  I have to get the management team to first decide if we are going to outsource our payroll system.  There is one software company that I looked at that does not process payroll.  So I have realized that we need to make a decision based on payroll before I can proceed with finding software to use.  Thank you again!

    Hi Tammye - We have reverse engineered almost every system out there and I believe SIS provides the best solution for a mechanical construction and service contractor over 100 million.
    (Once you pass that 100 million mark its a different ball game and SIS focuses on that exact field)
