    I'm reviewing tasks that my Project Accountants perform.  I believe that they're saddled with too much lower level work.

    I'm looking for tasks and processes that other GC/subs are the responsibility of their PA's other than billing.

    I currently have four PA's on staff.  They are responsible for all aspects of project administration/accounting:


    1.        Assisting with job set up – SOV's and Job Control input

    2.       Certified Payroll Reporting

    3.       Processing missed payroll and distribution of payroll checks.  Payroll is processed centrally in our MD office.

    4.       Requisition generation and compliance documents

    5.       Data input for Purchase Orders

    6.       Pricing and input of work order tickets – if anyone has software suggestions that are compatible with Viewpoint for this I would love to hear.  Every vendor we have spoken to cannot do the cost side of the EWO so that our job cost estimates are correct.

    7.       Data input of projections.


    They generally are assigned to one or two PM's so that they can develop a good working relationship and are an integral part of the ops team as well as the accounting team.

    Good Morning,

    I have (3) PA's on staff and (2) Admin Assistants. The PA's are responsible for the accounting and the Admins are responsible for the administrative duties that support the PA's. Below is a list of some of the responsibilities of our PA's. Depending on the account or customer, there are other accounting tasks that each is responsible for.

    • 1st approver of project invoices/pay applications
    • Bill initialization, creation and submission 
    • Holds cost report meetings with project manager and project exec and reviews projections
    • Updates and completes bill reconciliations, project status, and predicted income worksheets
    • Reports WIP, YE and future years forecasts to Project Accounting Manager
    • Tracks and reports MBE/WBE inclusion
    • Reviews and works with managers on budget imports
    • Tracks and updates other owner required documents/worksheets
    • Reviews and approves invoices selections for check runs
