Business mileage mobile apps

    ​​​​We are interested in implementing a mobile business application to track business mileage.  This would be a company controlled app where staff enter their business miles and both the employee and Corporate has the ability to generate annual reports of mileage.  Do any CFMA members have experience with such an application?

    If you are a Microsoft Office 365 customer there is an included product called MileIQ that I believe can do that.  I'm just not sure if both corporate and the individual have the ability to go look at historical reports.

    We used MileIQ and that's really for individual use more than company use.  Or at least it was.  We switched to Triplogmileage.com and are very happy with it.  We are able to add daily commute deductions by employee, different reimbursement rates and varied reporting.  It is very reasonably priced too.

    Thank you for your input, Jill.  Have you gotten any feed back from your staff whether they use it in manual or automatic mode?  I wonder how long a battery charge lasts with automatic mode.

    We tested on three users before launching it.  I was one.  There was no noticeable battery drain at all.  We use the 'Magictrip' setting and it works great in the background.  There are several features we really like:

    1.  Daily commute deductions.
    2.  Setting business hours to track (we don't want to invade privacy)
    3.  Locations - you can set locations so the names / jobs end up on your mileage reports & spreadsheets.
    4.  Stay time - you can see how long your techs or PM's are on site.  (this has been a gem of a feature for us to see productivity time)
    5.  Personal / Work locations - you can set locations to be personal - these will auto categories the miles as non-business.  We do this for popular lunch spots for example.
    6.  Combining trips - The user stops for gas - s/he can just attach it to the next drive so you have one less trip to review.
    7.  Reports - MUCH better than MileIQ.  The users appreciate knowing what they were reimbursed for, what rates, how much commute etc.
    8.  Trip types - you can define types such as sales, production, install.  We have some field guys that will run inspections for sales guys - we can track how much time they spend on sales vs production work with the stay time info.
    9.  Current fleet locations - A map with everyone's locations.  Invaluable if you dispatch.
    10.  Google Maps mileage override.  Every now and then we'll get an employee running errands on the way to somewhere.  With a click - we can pay for what the mileage should have been vs what was driven with the extra stops.

    Our users raved when we switched from MileIQ and so did accounting.  We have a lot more visibility and control and the phone app is powerful yet easy to use.

    We are Microsoft Premium subscribers and therefore get MileIQ for free. We love how easy to use it is!

    Some of our clients are using GoCanvas, which enables you to easily build your own apps or use ones already built in their "app store" then it uses Excel to help bring in the data.  This could be worth exploring to see if it might be a fit for you.  If interested then please contact us so we can set you up with a complimentary free trial up to 30 days.  It is important that you go through us if you are interested in a trial so we get you the best pricing and do not sign up for free trial directly on gocanvas website.

    Hey Susan!

    We use eForms Mobile for all of our forms- including tracking mileage!  For our mechanics, it also tracks maintenance and alerts the mechanic thru text (or other methods) if vehicles are over miles and need serviced based off of the odometer reading the employee is putting in.  Let me know if you have any questions!
